Title: Office Manager
Job Description:
1) Real Estate Services
- Liaise with Corporate Real Estate in the managing/forecasting of the office space needs. Co-ordinate office lease renewals.
- Liaise with Corporate Real Estate and act as the project administrator/coordinator on new office construction and/or renovation.
- Daily office environment maintenance including furniture/fixture, lightings, air-conditioning and ventilation.
- Administer staff office/seating arrangement.
- Monitor the service level of Building Management.
2) Office Supplies and general services
- Manage the office supplies. Managing the procurement process, including vendor selection and monitoring their price performance.
- Manage Reception, pantry, office storage and other public areas.
- Manage various `out-sourced’ services, including drivers, security guards, tea ladies and cleaners.
3) Travel Services
- Monitor the cost/performances and service levels of CWT, our air-ticketing agent.
- Select and monitor the cost & services level of hotels.
- Coordinate and assist visa applications for our staffs on business travels.
4) Providing administrative support to Company events, including the hosting of corporate VIP visitors.
Requirements
- Over 5 years relevant experience; preferably, with major MNC.
- People management experience is a must.
- Excellent communication and people skills. Diplomatic and Firm.
- Excellent English Proficiency.
- Well organized. Attention to details.
- Service oriented.
In brief, we are looking for the following attributes/experience:
1. A solid track record in Office Management (rather than a mixed bag of experience as a secretary, marketing administrator, and the `do-it-all’ in small representative offices….)..
2. Current job must be an Office Manager i.e., with people management experience.
3. Work experience in sizable company, preferably with MNC.
4. Prior experience in managing office renovation project is preferred.
5. English proficiency
